Using SQL Server as a Data Store in the Cloud for Microsoft Access Database Systems

Updating Microsoft Access with Cloud Connectivity and SQL Server Integration

SQL Server LogoMicrosoft Access is a popular management database tool, often used for small to medium-sized business applications that are flexible and practical to develop and maintain. Traditionally, Access database systems are made up of 2 Access database files - the front end stored locally on the users' computers and a shared back-end file containing the data and held on a local server, accessed over a local area network (LAN).

Nowadays, many businesses are deciding to replace an on-site local server at their office with a hosted server. This presents some potential challenges where the business is using any systems created in Microsoft Access and these require some forethought.

One solution for running Access in the Cloud is to migrate the back-end data store file to SQL Server, either hosted or via Azure. SQL Server is a Microsoft database platform. It can reside on a local server, on a hosted server or it can take the form of Microsoft Azure. These modern deployment options allow for enhanced scalability, flexible access and robust security by integrating with SQL Server and making use of the cloud to allow access from anywhere where you have an internet connection.

There are other circumstances too where it may be sensible to migrate to SQL Server. We have plenty of experience of doing this, and we can help you weigh up whether it's the right thing for you.

SQL Server as a Back End for Access

By using SQL Server as the data store for your Microsoft Access database system, you potentially gain improved performance, reliability, and the ability to cope with more concurrent users. Access acts as the front-end application, providing your familiar screens and reports, while SQL Server handles the data storage and processing behind the scenes. This approach allows your business to benefit from the robust backup solutions and advanced security features native to SQL Server, as well as removing the need for a local server.

Deploying Access in the Cloud

Cloud ImageTo use Microsoft Access in the cloud, you can continue with the Access front-end on users' PCs while the data file is stored securely and managed in SQL Server, also hosted in the cloud. This setup enables teams to collaborate from multiple locations without sacrificing data integrity or performance and without any large investment in infrastructure from you.

Benefits

  • Accessibility: Cloud hosting allows users to access the Access application and SQL Server database from anywhere with an internet connection.
  • Scalability: SQL Server handles larger datasets and more concurrent users than traditional Access databases.
  • Security: SQL Server provides advanced authentication and encryption, protecting your business data.
  • Cost: No in-house infrastructure to buy, renew, power and maintain

How to Move to using Access with SQL Server in the Cloud

Earth ImageTo migrate your Access database system to SQL Server, you'll need the data file to transfer and upsize, and the Access application file will need optimisation work too in order to maintain performance. This is because your front-end file will be communicating with the data file over an internet connection that is much slower than the local connection it would typically use in a traditional set-up.

That 2nd part of the process is often overlooked or ignored, resulting in poor performance as simply migrating the data and then connecting up the existing front-end file to the SQL data is not enough on its own, in practice. SQL Server provides a powerful data processing engine that needs to be put to work, rather than continuing to rely on Access to do it. By careful use of dynamic stored procedures and other coding, we can harness the power of the server engine and reap the benefits so that they more than overcome the reduction in connection speed.

Please note other set-up options exist and these may be more appropriate for your business - depending on what existing infrastructure you have. Virtual desktops, remote hosted Windows desktops and remote desktop connections can also play a part.

Overall though, integrating SQL Server as the data store for a Microsoft Access database system and deploying Access in the cloud enhances collaboration, security, and scalability, ensuring your data and workflows are future-proofed for evolving business needs.

Whatever the set-up that is appropriate for you, we have many years of experience in advising and helping businesses in this area - both in making the necessary changes to the existing Access database system and in providing hosted SQL databases where clients don't already have them.
